Position Overview: 

Office Assistants are based in HR and service the company across all departments.  They complete ad-hoc projects and temporarily cover desks while guest executives are in town. The position also entails assisting with a variety of daily administrative office tasks. 

This position is a demanding housekeeping and administrative role. The Office Assistant provides general support across all departments and works closely with HR, facilities and IT, and will be on their feet most the day.

Essential Functions:

  • Assist with distribution of mail and packages across the campus
  • Running errands
  • Covering desks for assistants and reception
  • Completing department projects
  • Supporting Facilities, HR and IT

  • Proactively manage multiple meeting spaces. Ensure requirements have been met through liaison with reception, IT, catering, and the cleaning team in advance of meeting start. Also making sure they are presentable when not in use.
  • Setting up all video conferences and audio visual requirements, with support of IT when required.
  • Being available to assist staff with requirements at the beginning of meetings.
  • Providing PA support to a number of senior staff, often visiting from other offices – you will look after their schedules, travel and accommodation requirements, provide administrative support and run errands.
  • Liaising with local assistants regarding visiting executive requirements.
  • Restocking bottled water across the company.
  • Deliver office supply deliveries and other packages.
  • Provide exceptional service to all visitors.
  • Flagging and resolving issues as discreetly and efficiently as possible.
  • Frequent reception cover.
  • Tours for New Hires.

HR Department support:

Managing candidate interview process

  • Booking interview rooms
  • Escorting interview candidates on arrival from reception to waiting area

New joiners – pre-joining

  • Liaising with IT about IT equipment
  • Preparing work space for first day
  • Ensuring stationery, etc., on desks.

Qualifications/Requirements
Bachelor’s Degree Preferred

Position Summary:

The primary responsibility of this position will be staffing.  This position utilizes standard and innovative recruiting tactics and sources to identify and recruit top employee talent for all opportunities.  Because of the everchanging nature of our company and our industry, this position should have strong recruiting and generalist skills and experience and should be able and willing to take on new responsibilities unrelated to recruiting, as they emerge.

Essential Functions:

1. Recruits and interviews quality candidates for all open opportunities in the corporate office and assists with recruiting for international offices as necessary.

2. Recommends innovative recruiting and sourcing strategies.

3. Prepares and posts advertisements for open positions.

4. Assists with development of job descriptions.

5. Sources and screens candidates.

6. Participates in all phases of the interview process.  Conducts initial interviews, participates in and leads subsequent interviews as necessary.

7. Assists and advises hiring managers through the interview and selection process.

8. Prepares weekly and monthly reporting/tracking for open positions (sourcing, status, etc…)

9. Coordinates and processes new hire paperwork, drug screenings and background screenings.

10. Assists with management of internship program.

11. Develops employee communication pieces.

12. Conducts new hire orientations.

13. Administrative duties – including data entry and file maintenance.

14. Other tasks, projects, and responsibilities as assigned.

Minimum Qualificaitons:

1. 3+ years diverse recruiting experience.

2. Bachelor’s degree in related field.

3. 1-3 years of HR Generalist experience desired.

4. Minimum of four years of HR experience.

5. Proven ability to source and recruit candidates in innovative ways.

6. Knowledge of best practices in recruiting.

7. Strong knowledge of sourcing and research methods including online web tools, social networking, etc.

8. PHR preferred.

9. Ability to build relationships within the organization and with candidates.

10. Ability to manage competing and rapidly changing priorities.

11. Excellent working knowledge of employment law as it relates to recruiting, interviewing, drug and background screening, employment testing, etc.

12. Strong time management skills.

13. Excellent verbal and written communication skills.

This position is the first employee to interact with guests, either in person or on the phone at the UFC Performance Institute (PI).  The Receptionist assists in scheduling, greets arriving guests, welcomes them to the facility, checks them in, lets the appropriate PI personnel know that they have arrived, and makes them comfortable while they wait.  Similarly, this position answers phones and assists callers with questions.

Essential Functions:

  1. Welcomes guests to the UFC PI by greeting them and assisting them with their needs.

  3. Manages the scheduling and booking of athletes in advance of their visit.
  4. Informs PI staff of the arrival of guests and makes the guests feel welcome while they wait.
  5. Cordially and professionally answers multiple phone lines directing phone calls to appropriate Zuffa employees or answering inquiries in accordance with company standards.
  6. Receives and sorts incoming mail and packages.
  7. Coordinates delivery of express mail (FedEx, UPS, etc.)
  8. Assists with ordering, receiving, stocking and distributing office supplies.
  9. Maintains security by following procedures, monitoring log book, issuing visitor badges, etc.
  10. Maintains the appearance of the reception area.  Ensures that it is clean and safe.

Strategy for Winning:

Our office consists of people who are passionate, dedicated and innovative.This position contributes to the Human Resources department and to the company by managing many administrative activities efficiently and effectively with a focus on company and employee objectives.  This position processes all of the necessary items related to onboarding employees and handles all administrative needs for the department.

Essential Functions:

1.      Sends, collects, reviews and processes new hire paperwork during the hiring and onboarding process.

2.      Setup and maintenance of employee files.

3.      Enters, tracks, troubleshoots and performs background screening activities. This includes contacting outside parties to verify information directly when necessary.

4.      Processes termination paperwork.

5.      Processes changes for internal position and department changes.

6.      Maintains I-9 data.

7.      Maintains accurate information in various company programs, i.e. phone lists, Cervello and Paylocity information.

8.      Assists with administrative aspects of the company’s internship program.

9.      Puts job descriptions into formal company format and reviews and modifies/improves descriptions.

10.  Manages business card requests and places orders.

11.  Tracks down missing paperwork, performance evaluations, outstanding training programs and other items from employees.

12.  Manages requests for additions to the Approved Driver List and periodically runs driving records.

13.  Assists with development and distribution of internal staff announcements.

14.  Produces various human resources documents as requested.

15.  Enters requests for travel arrangements for interviews.

16.  Assists employees with answers to questions.

17.  Orders office supplies.

18.  Answers employment verification phone calls and letters.

19.  Conducts file audits.

20.  Performs other tasks, projects, and responsibilities as assigned.

 Skills & Experience:

1.      3+ years of experience in human resources

2.      Bachelor’s degree in a related field or equivalent work experience

3.      PHR certification or  intent to pursue PHR certification desired
